Licensing

Within the Enterprise Manager, you can review, activate, import, and export your DatStat License. Follow this guide to learn how to perform each of these activities.

1.Reviewing Your Illume License

To view the details of the DatStat license follow these steps:

1. Login to the Enterprise Manager as a System Administrator

Illume License Summary

The DatStat License Summary displays the following information:

  1. Auditing – A Value of Yes indicates that Auditing has been enabled in the license.
  2. Collector URL – This is the URL participants will use to access Illume surveys. A typical survey URL simply appends Survey.aspx?Name= to the collector URL.
  3. Compliance – A value of Yes indicates that this install is running the CRF 21 Part 11 Compliance version of Illume to ensure FDA regulations for electronic records are followed within the product.
  4. Data Change – A value of Yes indicates that the Data Change application has been enabled for use on this system.
  5. Description – A description of the DatStat installation if one was entered at license creation.
  6. Designer Service Primary URL – If there is more than one URL listed for the DesignerService, this is the first in the list.
  7. Designer Service URL – This is the URL of the Illume Designer Service. The Illume Survey Designer connects to this URL to check surveys in and out, and to publish surveys. The WebUI also connects to this URL to access the Data Manager, Enterprise Manager, Study Designer and Study Manager.
  8. Discovery – A Value of Yes indicates that the Study Designer and Study Manager have been enabled in the license.
  9. Expiration Date – Date to renew the DatStat License.
  10. Queries – A value of Yes indicated that the Queries feature that lives in the Data Change application has been enabled in the license.
  11. Remote Data Collection – A Value of Yes indicates that Remote Data Collection has been enabled in the license. Users given this feature/or User Type, will be able to use the Remote Data Collection feature.
  12. SDK – A Value of Yes indicates that the Discovery SDK has been enabled in the license and will be able to be used by Users with the appropriate permissions.
  13. Self Hosted – A Value of Yes Indicates that this installation is in the Customers environment.
  14. System ID – This is a globally unique identifier for the DatStat installation.
  15. System Name – The name of the DatStat system. This name appears in the status bar of the Survey Designer when a user connects.
  16. Translation Support – A Value of Yes indicates that the license includes the translation tools for creating multi-lingual surveys.
  17. Web URL – This is the URL to access the Enterprise Manager, Data Manager, Study Manager and Study Designer interfaces.

 

Viewing the License Update History

To view the license change history:

  1. Login to the Enterprise Manager as a System Administrator
  2. Select System License in the left navigation pane

2.Activating the Illume License

DatStat products require a valid license. The license is activated in the Enterprise Manager by importing a license file provided by DatStat Support.

If DatStat has performed the install, this will be taken care of during the installation process.

 

Expiration Date of the DatStat License

By default, the DatStat License will expire one year from its creation.

Users will see an expiration warning 30 days prior to the expiration date.

Warning in Discovery Interface:

NOTE: After the expiration date has passed without updating the license, participants will be able to continue taking the surveys.  However, the only User that will be able to login to the system will be the Local Administrator account which is needed to Import the new license file.

The login will be inactive to anyone but the Local Administrator.

When the Local Administrator logs into the system they will only see the System License and Application Settings options.

3.Importing the DatStat License

The process of upgrading a DatStat license requires importing a license file received from DatStat Support. The license will be in the form of an XML file.

To import an Illume license:

  1. Login to the Enterprise Manager as a System Administrator
  2. Select System License in the left navigation pane

  1. Under Take Action select Import System License

  1. Enter the file path or click Browse to navigate to the System License file
  2. Click Save and OK

If the license file is corrupt after Clicking Save the following error will display.

4.Exporting the DatStat License

The process of upgrading an Illume license requires a user with the Administrator role to export the existing license to an XML file and send that file to DatStat Support.

To export the current Illume license:

  1. Login to the Enterprise Manager as a System Administrator
  2. Select System License in the left navigation pane

  1. Under Take Action select Export System License

  1. Click OK when asked to Save File
  2. Send this to DatStat Support

5.Additional Licensed Features

DatStat provides several add-ons to expand Illume/Discovery’s features and functionality.

The SDK, Translation Tools and Remote Data Collection require special licensing. For information on obtaining any of these additional tools, contact DatStat.

Software Development Kit (SDK)

Through Illume’s open API, the SDK allows for easy integration of DatStat Illume/Discovery into an existing data infrastructure and creates additional customization. The SDK exposes a number of areas of the application and database to enable a broad range of custom capabilities for surveys and studies, as well as interactions between the survey data in DatStat Illume and other systems.

Remote Data Collection

Illume’s Remote Data Collection tool enables survey teams to collect data offline on their local machine. This is particularly useful when collecting data in locations where an internet connection may not be available. There is no advanced knowledge required for using this tool.
Remote Data Collection allows interviewers (CAPI) and respondents (CASI) to use Illume to enter survey data on mobile computers in areas where an Internet connection is not available or is unreliable.  Server synchronization capabilities post-collection provide secure transfer of data between the server and remote device.

Translation Module

With the Translation Module, organizations can launch Illume surveys in more than 100 different languages.  This module is designed to work with third-party translation vendors or in-house translators.

This module allows Users to extract the text strings from their survey and put them into a format for either in-house translation or translation by an external translation vendor.  The translation can be into any left-to-right reading language.  Once translation is complete in any number of languages, the translations are incorporated back into the survey via the translation module.  This allows for distribution of a single survey in multiple languages (rather than requiring a separate survey for each language).  It also allows for the ability to toggle between languages while editing the survey in the Illume survey designer, for quick review and editing across languages.
